Privacy Policy
This policy explains what personal data Vadom collects, why, and the rights you have under the EU General Data Protection Regulation (GDPR).
Who we are
Vadom ("we", "us") is an independent software project based in Ireland, providing maintenance management software for production sites. Vadom is the data controller for this website and account data. For any privacy question or request, contact us at privacy@vadom.ie.
Where Vadom is used by a customer to manage their own site, that customer is the controller of the maintenance data they enter, and Vadom acts as a data processor on their behalf under a Data Processing Agreement.
What data we collect
- Account data: name, email address, role, and a securely hashed password.
- Operational data: breakdown reports, notes, photos, timings, clearance checklists and e-signatures created in the course of using the system.
- Technical data: IP address, browser and device information, and (for the mobile app) a push notification token used to deliver alerts.
How we use it
- To provide the service: dispatching breakdowns, tracking downtime, and keeping auditable maintenance records.
- To authenticate users and keep accounts secure.
- To send operational notifications (such as a breakdown alarm) to on-shift users.
- To diagnose problems and improve reliability.
Legal basis
We process this data on the basis of contract (to provide the service you or your employer signed up for) and our legitimate interests in operating, securing and improving the service. Where required, we rely on consent, which you can withdraw at any time.
Where your data is held
Your data is hosted on Amazon Web Services in the EU (Ireland, Dublin region). Push notifications are delivered through Google Firebase Cloud Messaging, which may involve processing by Google under its own safeguards.

How long we keep it
Account data is kept for as long as the account is active. Maintenance records are retained for as long as the customer requires them for their own audit and compliance obligations, then deleted on request or at the end of the contract.
Your rights
Under the GDPR you have the right to access, correct, erase, restrict or object to the processing of your personal data, and to data portability. To exercise any of these, contact privacy@vadom.ie. If Vadom processes data on behalf of your employer, we will direct your request to them as the controller.
You also have the right to lodge a complaint with the Irish Data Protection Commission (dataprotection.ie).
Security
We protect your data with encryption in transit, hashed passwords, role-based access control and an append-only audit trail. Full detail is on our Trust & Security page.
Cookies and similar technologies
Vadom uses only the storage necessary to keep you signed in and to remember basic preferences on your device. We do not use third-party advertising or tracking cookies.

We may update this policy from time to time. The "last updated" date above reflects the current version.
